What Doorkeep does on a call

How the agent answers, decides what is urgent, and gets the call to you.

Written by Andy Peters

Doorkeep is an AI phone agent built only for property management. It answers your inbound calls 24 hours a day, works out what the caller needs, and gets it to the right person with a short briefing.

What happens when someone calls

Every call follows the same shape, whether it is 2pm or 2am.

  1. Doorkeep picks up with your greeting, says it is an AI assistant, and tells the caller the call is being recorded.

  2. If the caller is a tenant you have on file, it can confirm their property and unit, and once they give the name on file it can mention a recent open issue.

  3. It works out what the call is about: maintenance, a leasing inquiry, a complaint, a lockout, a possible emergency, or something general.

  4. It ends in one of three ways.

The three outcomes

  • Answered from your property knowledge. Office hours, trash day, where the mailroom is. These are facts you add and approve, and each one is checked for Fair Housing problems before a caller can hear it.

  • Transferred to you with a briefing. The caller is placed on hold, Doorkeep calls you first and tells you who it is, which property, and what it is about, then asks whether you can take the call now. You decide. Starter rings one person you choose; Professional rings a list in the order you set.

  • Captured as a detailed message. Not a one-line voicemail. A structured request you can act on. This is also what happens when nobody on your Call List picks up.

What decides whether a call rings you

Your call windows set how calls are handled at each time of day, and your call types set what happens to each kind of call. Emergency handling can't be switched off, and situations on your escalation list ring your Call List.

What you get afterward

  • A recording and transcript of every call

  • An AI summary of what happened

  • Email and text notifications about calls, based on your settings

The agent facilitates, it does not advise

Doorkeep detects, connects, and documents. It does not tell callers what to do. It will not give safety instructions, troubleshooting steps, repair timelines, or commitments on your behalf. That boundary is deliberate, and it is what keeps the agent from creating liability for you.
