Add, rename, and delete units

Add one unit or a whole range, delete units you no longer need, and what your assistant does when a name or number changes.

Written by Andy Peters

Your units tell the assistant where each tenant lives, so a caller can be recognized before they say a word. This article covers adding units, deleting them, and what happens when you rename a property or renumber a unit.

Add units

On the property page, click Add Units. You can add one unit or many at once:

  • One unit: 301 or 2-B

  • A list: 101, 102, 103

  • A range: 101-109, 201-209

A range can include up to 100 units.

Ranges only work with numbers

A range needs plain numbers on both sides of the hyphen. Anything with a letter in it, like 2-B or A-2, is added as a single unit with that name.

That means 1A-5A is added as one unit called 1A-5A, not five units. To add lettered units, list them instead: 1A, 2A, 3A, 4A, 5A. If you added one by mistake, delete it and add the units again.

Delete a unit

  1. On the property page, click Edit next to the unit.

  2. Click Delete unit and confirm.

Deleting a unit cannot be undone.

A unit with a current tenant or owner cannot be deleted. Remove them from the property first, which also frees the unit. See Archive, reactivate, and remove contacts. This stops a tenant from being unassigned by accident.

Rename a property or renumber a unit

When a tenant calls, your assistant can already know their property and unit. If you rename a property or change a unit number, the assistant picks up the new name or number within a few minutes. You do not need to do anything else.

If a property change will not save

When you edit a property and something is missing, such as the property type, the edit window stays open and lists what needs fixing at the top of the form. Fill it in and save again.

Good to know

  • When a tenant moves out, remove them from the property rather than deleting the unit. The unit shows as vacant again, ready for the next tenant.

  • After adding or renumbering units, a test call from a tenant's number is the quickest way to confirm the assistant recognizes them. See Make test calls before you go live.
